[Linux-aus] Council Teleconf Minutes 2012-03-14 and 2012-04-11

Oops, I was slack and forgot to post the minutes from the previous council meeting. We were unable to reach quorum on the meeting scheduled in between these two and its replacement the week after.

I have amended the minutes with on-line votes for decisions made since. These are shown in italic on the website and prefixed with "Update:" both here and on the website.

LCA2012 debrief - arrangements for March 24.
LCA2013 team are organising Ghosts.

Face 2 face
Arrangements to be made for April 21 & 22.
Media training - Brad Howarth available on the morning of April 22.
Hour and a half seminar for all, followed by interview training for up to four:

Drupal Down Under 2012
Some financials to be tied up. Sponsor still to pay half. Videos still to be transcribed.

Will work on a final version at Face to Face.

Update on new server hardware
New mirror server should be live any day now.

Kylie is willing to run the RDP but wonders what (if anything) is already in place.

Grant request for Gold Coast tech space from Steve Dalton.
Clinton to report.
Waiting for final version of the request?

Grant request from Paul Wayper for video gear.
After discussion, the council has decided to not grant the request. LCA liaison will discuss the decision with requester and suggest alternatives; ie: since the geat is to be used for LCA, put the gear on the LCA2013 budget and have CLUG keep using it after LCA rather than put it into storage unused.

The council sends Stewart Smith its love.

James is going to arrange for a SLUG subcommittee election to be held.

LCA 2012 wrap up
Peter and John travelled to Ballarat to meet with the LCA2012 team for a debrief meeting. The meeting was productive and produced a lot of good feedback for the council as well as the LCA2013 team.

LCA 2013 update
The team have provided the council with a status update via email.
Prepaid credit cards for the team - best option and how much to load up?
Team to use current payment methods, avoid using personal credit cards. Council can be made to pay for things, make use of that. All people spending money to have a Xero account.

Ghosts
Scheduled for May 4-6.

Face 2 Face
Will be held in Sydney on April 21 & 22. James confirms the venue is booked. One larger space with projection gear, two smaller rooms (4/6 people) for media training. Wifi, tea/coffee facilities. Space is only accessible by stairs, but we can use other parts of the office if access is an issue.

Media Training
Brad Howarth is booked for the morning of April 22.

All outstanding invoices have been paid.

John has spoken with Owen about a subcommittee request.

LOGIN (Newcastle LUG)

Motion: The council proposes to add Steve Lindsay and Ben Meroli to the LOGIN subcommittee.
Proposed by John Ferlito, Seconded by Michael Carden. The motion was carried unanimously.

Kylie Willison's FOSS_connect project http://www.fossconnect.kyliesgenes.com/index.php?title=Main_Page
Kylie is willing to run the RDP for LCA but wonders what (if anything) is already in place.
The cost would be $10k to $15k to run an RDP. We will create an RDP at face2face. Budgeted, KPI'd, everything! Allow a sponsor to pick it up.

Grant request for Gold Coast tech space from Steve Dalton.
Council feels the updated proposal meets requirements.
Motion: Approve the grant request of $2k for purchasing computers to use for Linux training, provided no objections are raised on the linux-aus list in the next week.
Proposed by John Ferlito, Seconded by Michael Carden. The motion was carried unanimously.
Update: No objections were raised on the list and Steve Dalton has been informed the grant has been awarded.

Grant request for appMode from Flame Herbohn
The council has discussed this grant request and doesn't feel it meets the basic requirements set out in the grants policy.
Motion: The council does not accept this grant request.
Proposed by John Ferlito, Seconded by Peter Lieverdink. The motion was carried unanimously.

Subcommittee request for BarCampMelbourne from Ben Dechrai
Council is interested. Would like to see a more detailed budget, request email should also be sent to linux-aus.
Update: After an updated budget was provided, the council voted online on a motion to accept this subcommittee request.
Proposed: Michael Carden, Seconded: Bianca Gibson. The motion was carried with 5 in favour and abstentions from Peter Lieverdink and Clinton Roy.

Subcommittee request for WordCamp Sydney from Denise Teal
Request email should also be sent to linux-aus.
Update: The council voted online on a motion to accept this subcommittee request.
Proposed: Joshua Hesketh, Seconded: James Polley. The motion was carried with 6 in favour and an abstention from Clinton Roy.

Kim Kawtin email list request for Adelaide Tech Meetups 
Motion: The council accepts the request.
Proposed by John Ferlito, Seconded by Michael Carden. The motion was carried unanimously.

LA insurance policy renewal
Quote received. Similar to last year and seems reasonable. Council will check what, if any, the cover is for LCA/conference equipment and add this to policy if not on there yet.

Kathy Reid's enquiry about media subcommittee
Tabled until f2f.
