A couple of questions from me, I'm wondering if you could please expand for us on the link to Open values and Open Methodologies and how this can be progressed forward. Will there be advocacy for "Open" during the event etc. Also if you could please expand on how this may be in line with https://linux.org.au/about-us/values/ I personally can see the tie to Openness but just want to make it more noticeable for the grants process. Let me answer the first part around "Open values and Open Methodologies, as well as advocacy for "open" during the event. Research software is usually quite open and we have tried to make this conference as open as possible. The discussion topics that are part of the core of the unconference are open access through a public github repository. The posters that will be submitted and approved will be through a Zenodo community and will be open access. The report that the potential fellow would write would also be put on Zenodo or Figshare so that it can be open access as well. I would be encouraging the fellow to create a Mastodon account to provide a microblogging experience for people who may want to follow them during the event. During the event we will be talking a lot around open source software, as many research software engineers use python, R, and other open source software. 2. For the second part around the values of Open Technology, Community, Freedom, Respect, and Diversity. As for open technology, we recognise that github is not open but we have made sure all the information is open access. This is definitely a community event. For example the maximum price that anyone would pay for the event is $30 Australian dollars. This is about lowering the barrier to entry for the community to attend. This is why we rely on sponsors and volunteers. Freedom is mainly through the open access of the Zenodo community where members can submit posters and we would approve appropriate posters. We will be encouraging people submitting posters to have CC-BY-4.0 licenses. As for respect we do obey lawful restrictions placed upon us particularly with reference to licence in copyright and patents, to the best of our ability. In particular, we really want to respect the most marginalised people in our community by listening to them and recognising that we need to support them. I think that this is just the start. Diversity is one of the core principles of the event and is the main reason why I am the founder of this event. I think this particular fellowship is a potential example for other community events to be able to get good, honest feedback from marginalised members of their communities in a proactive, positive way. I hope that clarifies things! I'm also happy to clarify further if it hasn't. The course will run from August - October 2024, weekly on Thursday evenings at Sussex Neighbourhood House. It will consist of approximately 5 structured learning evenings, 6 project evenings with tutors assisting, and a final showcase. The course will include about 10 volunteers. The neighbourhood house has a windows desktop per student, but we aim to have a Raspberry Pi for each student for their linux work. This sounds like it has strong alignment with the purpose of the LA grants program. My questions about this request are more structural than alignment-focussed: - There is no ABN I could find for Merri-Bek Tech, so there are questions around how the grant would be executed (e.g. LA could reimburse upon sighting of receipts, so it's still workable IMHO). - If the sessions are being held at a neighbourhood house, I'm curious why Merri-Bek Tech is being asked to pay insurance - because that's a LOT of insurance for some volunteer tech session (or, the neighbourhood house might be trying to claw back budget because of *waves at economy*). From memory, LA pays less than $AUD10k per year for *all* its insurance coverage. - Regarding the comment around LA auspicing, generally this would be done via the Subcommittee model [0]. However, the business model of Merri-Bek Tech, from what I can gather on the website, is to generate revenue by providing community and individual hosting using free software. For clarification, is Merri-Bek Tech asking that as an _organisation_ it is auspiced by Linux Australia, or that this _event_ - the Raspberry Pi tutorial sessions - are auspiced by Linux Australia? Because I think that changes the approach. Ideally, if this grant were to be approved, I would like to see the curriculum / materials open sourced in some way for re-use, perhaps as a community-developed Carpentries module? I'm the Jade who made the application, so I won't try to sell it further, but I have some answers and updates regarding your questions: ABN Merri-bek Tech Inc. is an incorporated association in Victoria. Association number A0122553Y. We haven't applied for an ABN net, but could easily do so in order to receive money. Insurance Breaking news this morning, the Neighbourhood House has just offered to cover us with their liability insurance (they initially refused). That means that's off the roadmap for now. We will likely still have issues with that going forward as we want to end up running things at multiple sites and leaving servers running at those sites. Becoming a linux australia subcommittee is one posible solution, as is getting our own insurance. For now though, we can defer that question until after this three month program, and scrap that from the proposed budget. Business model We are building a non-profit, not a social enterprise. It's not clear if we will charge in order to cover our break even costs, but that isn't on the road map for this year. Auspicing I've had a couple of chats with linux australia about the subcommittee model, and it's interesting (particularly as we'd live our Merri-bek Tech approach to be replicable in other geographies without having to incorporate). However, I'd like to leave that as a seperate conversation that we can have throughout the year (since we are already incporporated). So, for now I'm applying for a grant from Linux Australia on the assumption that we are a seperate organisation not a subcommittee, although obviously a number of us are linux australia members and supporters of linux australia goals. Curriculum We'd love to see this open as well. Making something useable by others takes a lot of work, but we'd be willing to commit to at least ensuring that any materials we do produce are CC licensed as a starting point. Currently, roller derby gets no grant support, and we have some of the highest participation of Gender Diverse and Neurodiverse skaters. The team behind SCA are an offshoot of Kingston City Rollers which recently won a gold level award for LGBTI participation. We want to support open source, and our team came up and supported "Everything Open 2024" for an in-kind (some expenses covered by the event) to live stream the event to the world along with recording it. The key milestone is to provide streaming for multiple events across the year using these funds. It will allow us to purchase products that allow us to make best use of the OBS platform to live stream. Estimated cost breakdown of the project: The total cost is $2000 to purchase components for the live stream Project team details: Jennifer "Jeneral Pain" Sims - Technical Stream - jennifer at sportsconnectionaustralia.com.au Nick "Bullseye" Brown - Technical Support - nick at sportsconnectionaustralia.com.au Corinne "Exy" Christie - Minister for War and Finance - corinne at sportsconnectionaustralia.com.au (Exy keeps Jeneral and Bullseye in check, keeps the finances and the cray ideas under control) "Exy" founded Sports Connection Australia as a way to bring the LGBTI support to the sporting teams. Previously there was minimal support to sporting teams but its taking much more great significance as more continues. Jennifer has provided in-kind support via SCA through to LCA for Everything Open 2024 and more. Nick and Jennifer both contribute to the open source software that the roller derby scoreboard operates (http://www.github.com/rollerderby/scoreboard) We're a big proponent of Open Source, Open Gender, Open diversity, we want no boundaries, we want everyone to come, enjoy our sport, because everyone loves the thrills and spills, and even more so, loves that roller derby is "an everyone sport, no matter your size, gender, identity, sexuality etc". First Name: Jennifer Last Name: Sims Email Address: jennifer at sportsconnectionaustralia.com.au A statement including a willingness to provide regular project updates on the project: As part of this project, we would be providing constant updates as required for the team to be satisified that this community grant has gone to a good home. We know that money these days is tight for everyone, (interest rates, politics mutter mutter), but we want Linux Australia to know that their support of a sport with its scoreboard, stats and other items built on the back of open source technologies, are huge, and well loved. We would make sure during any streams that we can place a "Powered by Linux Australia" or "Supported by Linux Australia" as part of this. Once you have your system set up and ready to use, do you expect it to be available for use beyond the Roller Derby community? If another group related to LA wanted to live stream an event, could the equipment be made available to them (subject to you and your team having time to facilitate it of course)? The diversity angle here that I see is about greater audience engagement in activities, facilitated by open source solutions - but please let me know if I've mis-interpreted that. To this end, there are some questions which highlight how this request could be more strongly aligned to Linux Australia's goals. - Some specifics around the cost breakdown would be helpful, for example what equipment would be purchased to work with the OBS platform? What is the expected lifespan of the equipment - I'm very aware that many devices have a usable life of only 2-3 years these days (sadly). Are there costings available for that equipment? - Would there be documentation written and made openly available so that the solution could be replicated by other groups, therefore meaning that the Grant, if funded, has higher impact? - Are there milestones or phases for this Grant (which is 20% of the Grants pool for this year) - for example, Step 1 might be "get OBS working with hardware" and Step 2 might be "document the solution" while Step 3 might be "have someone else validate the solution works with a different event"? I also want to acknowledge the efforts Jen and her team put into audio visual at Everything Open 2024 in Gladstone, which was all done on a volunteer basis. What is the expected lifespan of the equipment - I'm very aware that many devices have a usable life of only 2-3 years these days (sadly). Are there costings available for that equipment? RGB Link is approximately $2000 at present. --- Q: Would there be documentation written and made openly available so that the solution could be replicated by other groups, therefore meaning that the Grant, if funded, has higher impact? A: Absolutely, this is an important part is to help the community grow and support each other because that's the basis of "Open Source". And would be 100% something that can be committed too. --- Q: - Are there milestones or phases for this Grant (which is 20% of the Grants pool for this year) - for example, Step 1 might be "get OBS working with hardware" and Step 2 might be "document the solution" while Step 3 might be "have someone else validate the solution works with a different event"? The event has a rich history, running successfully for the past six years, serving as a pivotal platform for networking, education, and community building. ## Purpose of the event * **Networking:** The conference facilitates networking among industry professionals, fostering collaborations and sharing best practices. * **Education:** We feature presentations, lightning talks, workshops, and unconference sessions on the latest trends and tools in technical documentation and content strategy. * **Community Building:** The event strengthens the community of documentarians, promoting knowledge-sharing and professional growth. ## Alignment with Linux Australia values The Write the Docs organisation shares a strong alignment with the values of Linux Australia. At first glance, Write the Docs and Linux Australia may not seem to have much in common: many technical writers use proprietary tools, and many developers aren?t thrilled about documentation. But technical writers and developers have a long history of working together, so it?s no surprise that our two communities align at the most fundamental level. Specifically, the Write the Docs values of [community-first, openness, and inclusivity](https://www.writethedocs.org/about-us/) resonate deeply with Linux Australia's values of [community, open tech, respect and diversity](https://linux.org.au/about-us/values/). Many individuals actively participate in both communities. ## Event-specific values The Write the Docs Australia conference upholds a culture of inclusion, respect, and diversity, as reflected in its[ Code of Conduct](https://www.writethedocs.org/conf/australia/2024/code-of-conduct/). The conference is dedicated to creating a [welcoming space](https://www.flickr.com/photos/writethedocs/53654012869/in/album-72177720316224454/) for all participants, ensuring respectful interactions and promoting diversity in the tech community. This strong commitment to [inclusivity](https://www.flickr.com/photos/writethedocs/53654003333/in/album-72177720316224454/) aligns well with the ethos of Linux Australia. Estimated cost breakdown of the project: ## Package amount We?re applying for a Project Grant for the [?First Draft? sponsorship package](https://www.writethedocs.org/conf/australia/2024/sponsors/prospectus/) which costs AUD $1,500. This package is aimed at open source organisations and includes: * Two conference tickets. * Linux Australia logo on the conference website. * Linux Australia sponsor name included in all conference emails to attendees. * Promotional Linux Australia displays and swag items (like Linux Australia stickers!) on the [conference swag table](https://www.flickr.com/photos/writethedocs/49076625406/in/album-72157711813997262/). All items to be provided by Linux Australia. ## How we?ll use the grant The grant will be used to cover essential expenses to ensure the successful execution of Write the Docs Australia 2024. These expenses include: * **Venue hire:** We are excited to welcome everyone to a new (and bigger) venue in Melbourne this year. We have upgraded from last year?s venue, [Library at The Dock](https://www.writethedocs.org/conf/australia/2023/venue/), to the [Melbourne City Conference Centre](https://www.writethedocs.org/conf/australia/2024/venue/). * **Food:** Catering for attendees, providing meals and refreshments throughout the event. * **Social event**: An off-site event where delegates can chat and network, with snacks and drinks provided. * **Supporting equipment:** Necessary equipment such as AV systems, projectors, and microphones to facilitate presentations and workshops. * **Videographer:** Hiring a professional videographer to record all talks, ensuring they are available on YouTube afterward for free access. * **Sketchnote artist:** Engaging a sketch note artist to visually capture key points from the sessions. We are committed to keeping ticket prices affordable for a broad range of attendees, ensuring accessibility for freelancers, students, and those currently out of work. Your sponsorship will make it possible for a diverse group of documentarians to attend our event. ## How the grant will benefit the open tech community All talks will be recorded and made freely available on our dedicated YouTube channel, [WriteTheDocsAus](https://www.youtube.com/@WriteTheDocsAus). This open sharing of knowledge provides educational opportunities across our industry, enabling everyone to access insights from the conference. ## What?s in it for you? Some of our attendees may be new to open source and might not be familiar with Linux Australia. Including your logo and promotional materials at Write the Docs Australia 2024 is a valuable opportunity for Linux Australia to connect with a broader audience and showcase your initiatives. Additionally, the two free tickets included in the sponsorship package allow Linux Australia representatives to attend the conference, network with attendees, and spread the word about your organisation. This face-to-face engagement will help foster a deeper understanding of Linux Australia's role in the open source community. Project team details: ## About Write The Docs Write The Docs is an international community encompassing technical writers, developers, support teams, and content strategists. The group was founded with the vision of improving documentation practices across the tech industry. Eric Holscher played a pivotal role in its inception. His commitment to the open source ethos helped shape Write The Docs into a thriving, global, open community that promotes high-quality documentation and the exchange of best practices. Swapnil Ogale was instrumental in creating the Australian contingent of Write the Docs. Read more in his [retrospective post celebrating our 8th anniversary](https://www.linkedin.com/pulse/8-years-write-docs-australia-swapnil-ogale-bgmcc/). Over the years, the Write The Docs Australia conference and meetups have consistently [included talks about documentation in open source](https://www.youtube.com/@WriteTheDocsAus/search?query=open%20source). In this way, our organisation helps grow, foster, and develop knowledge about open source communities and free and open source software (FOSS) projects in Australia. We are proud to have many vocal open source advocates within our community, an active open-source channel in our Slack workspace, and every year members of Write the Docs participate in the [Google Season of Docs](https://developers.google.com/season-of-docs) program. One of our notable contributions to the open source community is [The Good Docs Project](https://www.thegooddocsproject.dev/), a global project that was co-founded here in Australia. This initiative focuses on creating high-quality, reusable templates and guides for documentation in open source projects. ## Meet the project team The Write The Docs Australia 2024 [conference team](https://www.writethedocs.org/conf/australia/2024/team/) comprises dedicated professionals with extensive experience in open culture contributions: * **Swapnil Ogale (Conference Chair):** Swapnil initiated Write the Docs in Australia in 2016 and works as a technical writer at Amazon Web Services. He has a strong background in organising tech events and a passion for community building and open source documentation. * **Jared Morgan:** With 17 years of experience as a technical writer, Jared is deeply involved in the documentation community. He works at [Squiz](https://www.squiz.net/) and brings a wealth of experience in planning and delivering documentation as a product. * **Felicity Brand:** With 15 years of experience in technical communication, Felicity is based in Melbourne and loves working in open source. She has attended and spoken at the past two Everything Open conferences. * **Jennifer Appleby:** Jennifer has spent most of her career in IT, focusing on technical documentation in recent years. Her extensive experience in enterprise software and her passion for open source and community engagement make her a valuable team member. * **Shiham Jamaldeen**: An experienced technical communicator, Shiham has over 10 years of experience working across healthcare, banking, financial markets, and human resources.
